Medical Module Overview

User Permissions (Medical)

For general information on managing user permissions, please read our Admin user permissions article.

Medical

CampSite's Medical module supports HIPAA compliance by offering specific user permission settings regarding the medical data you collect within your database.

As such, you can help control the security of your camp's medical data by restricting access to this information on a per-user basis.

After the Medical module is enabled for a user (which grants them "read only" access to Medical data), you can also grant the following permissions:

Basic

  • Admin: Permission to access the Admin settings for the Medical module (i.e. access to the Medical settings within the Campers tab on the Admin settings page, and access to the Medical management settings on the Medical Dashboard.)
  • Create health center visit logs: Permission to create new health center visit logs.

Camper medical

  • Medical read: Permission to read camper medical information.
  • Medical edit: Permission to edit camper medical information (note: the user must also have the "Medical read" permission granted in order to be able to edit camper medical information.)
  • Medical reports: Permission to access the medical reports on the Medical dashboard for generating/printing camper medical data in mass.
  • Deliver camper medication: Permission to use the medication delivery tool to log the delivery status for scheduled medications.

Staff medical

  • Medical read: Permission to read staff medical information.
  • Medical edit: Permission to edit staff medical information (note: the user must also have the "Medical read" permission granted in order to be able to edit staff medical information.)
  • Medical reports: Permission to access the medical reports on the Medical dashboard for generating/printing staff medical data in mass.
  • Deliver staff medication: Permission to use the medication delivery tool to log the delivery status for scheduled medications.
Medical Dashboard

Use the Medical Dashboard to manage certain medical settings, record scheduled medication deliveries and health center visits, and generate medical reports.

To access the Medical Dashboard, click the Medical link in the navigation bar.

Medical Dashboard

Click the links below to learn more about a particular feature.

1. Health Center Visit Logs

Begin new log entry: Log a camper's visit to the health center using a mobile friendly interface. Record the camper's symptoms, course of treatment, disposition, and the attending staff member.

View open logs: Access all of the open health center visit logs that require follow-up/still need to be closed.

Recent log activity: View all logs created over the last 72 hours.

Log archives: Generate a report of all health center visit logs.

2. Medication Delivery

Scheduled medication delivery log: Log the delivery status of scheduled medications for campers and/or staff.

Medication delivery report: Generate a report of all medication deliveries (past or future).

3. Medical Reports

Medical profiles: Generate/print camper and staff health history form data in mass.

Medical awareness list: Generate/print all health history form data that admins have marked as 'critical'.

4. Medical Management

Manage additional settings for the medical module, including custom medical forms.

Medication delivery statuses: Customize the different delivery statuses admins can select when logging a camper's or staff's medication delivery.

Medication deliveries: Customize the different delivery times for medications. Parents/staff must select from these times when entering their medications on the health history form. Admins will generate their medication delivery lists based on these times as well.

Medical dropdown lists: Customize the responses that can be selected from dropdown lists that appear to parents/staff when completing certain questions on your camp's health history forms.

Medical log items: Customize the options that admins can select when creating a health center visit log.

Camper/Staff printed medical forms: Manage additional "printed" medical forms that campers/staff need to complete. These forms require a physical file to be uploaded (i.e. a PDF or image file). Also, print submissions of these forms in mass.

Custom medical questions (Campers/Staff): Create additional custom questions for campers/staff to answer when completing your health history forms.

Customizing the Health History Form

CampSite's Health History Form comes with standard medical questions included (adapted from the American Camp Association's recommended health forms for camps). While the individual questions can't be edited, admins can customize the overall presentation of the form via the Medical admin settings for the Camper/Staff modules.

Click the Admin link in the navigation bar, then select either the Campers or Staff tab (depending). Within that tab, select Medical on the left. Then, navigate to the Health History Form configuration section.

For more details on how you can adjust the health history form, please click here.

Health Center Visits

Logging Health Center Visits - Tutorial Video

The Health Center Visit Log tool allows admins to track each time a camper or staff member makes a visit to your camp's health center. Using custom options created under "Medical Log Items", your staff can quickly document cases on an easy-to-use mobile interface.

Watch the clip below from our Medical webinar where we demonstrate how to log health center visits and report on health center visit log data in mass.

Begin a New Log Entry

Create Medical Logs to document medical assessments for Campers and Staff.

  • Medical Logs can be kept "open" if further treatment or follow up is needed, to allow for editing the log later. Or, they can be closed to prevent further editing, if nothing else needs to be documented.
  • The Log Entry tool is optimized for mobile devices to allow medical staff to easily create medical logs "on the spot", anywhere they need to be at camp.

To create a new Medical Log, click the "Begin new log entry" link under the Health Center Visit Logs section of the Medical Dashboard.

1. Select a Camper or Staff Person

To begin, select a camper or staff person by typing at least 3 characters of their first or last name and selecting them from the search results that drop down.

Note: Only enrolled campers and hired staff will appear in the search results.

After selecting a camper or staff person, their details will populate.

View their profile photo and basic details.

To view all of their medical information, click the "Go to medical profile" button to jump to their profile. From there, navigate to their Medical tab.

Critical medical information

If the camper or staff person has any critical medical information on file, it'll display beneath their basic details for easy reference during the medical assessment.

2. Enter Log Details

Use the buttons/text fields to provide the medical log details.

  • None of these sections are mandatory, if you prefer to leave any of them blank.
  • Tap multiple buttons to select more than one, if needed.

Buttons for Complaint, Assessment, Treatment, Disposition, and Staff Attending

The buttons that appear for Complaint; Assessment; Treatment; Disposition; and Staff Attending are customizable.

To add/remove buttons, go to the Medical Dashboard > Medical Management > Medical log items. Click here to learn more.

3. Attach File

If needed, attach (1) .jpg, .jpeg, or .pdf file to the log.

  1. Tap/click the "press to upload file" area
  2. Select (1) file from your device and submit

4. Select the Staff Attending

Tap to select (1) or more members of your medical staff who attended to the camper/staff person during the assessment.

Again, these buttons are customizable.

To add/remove buttons, go to the Medical Dashboard > Medical Management > Medical log items. Click here to learn more.

5. Save the Log

When you reach the end of the log, you have 3 options:

Delete and start over

If you do not wish to save the log, click "Delete and start over." The log contents will be erased and you'll be automatically redirected to the queue of logs still waiting to be closed.

  • Note that a log cannot be undeleted, so be careful when selecting this button.

Save and continue later

If you may need to edit/add to the log later (e.g. if further treatment or follow up is needed), choose "save and continue later." This option will save the log but leave it "open" so that it can still be edited later, if needed.

Finish and close log

If you're finished with the log and will not need to add to it or edit it later, click "finish and close log." This option will save the log and "close" it, which prevents any edits to the log later.

  • Once a log is closed, there's no way to edit or delete the log later, so be careful when selecting this button.
View Open Logs

Visit the "Open Medical Logs" page for a list of all open Medical Logs in your database currently.

  • Logs are listed in chronological order, with the most recent logs at the top.
  • You can also access "open" medical logs from the camper or staff person's profile page.
  • "Open" Medical Logs have been saved but are still waiting to be completed/closed, because the camper/staff person's medical treatment wasn't finished when the log was created.

To view all of your open Medical Logs, click the "View open logs" link from the Health Center Visit Logs section of the Medical Dashboard.

View a list of every open log, along with the person's profile photo and the medical complaint.

Click on any part of the log to open it.

  5. Choose a medication delivery time
  6. Choose whether to organize campers alphabetically, or by division or bunk.
  7. Click "Start delivering"

Campers matching the selected criteria will display, along with their basic information and number of medications scheduled for the selected delivery time.

Clicking on an individual camper will expand their medication information.

Medication details will display, including dosage, notes and critical flags.

To mark a medication as Delivered or Missed, click the appropriate box.

  • Deliveries: Filter by the time of day when medications are to be delivered.
  • Statuses: Filter by the delivery status of the medication. "Scheduled" refers to medications that still need to be logged.

Report Results

The results will present each delivery in a separate row, organized alphabetically by the camper or staff's last name. "Logged by" will indicate who logged the medication delivery, and "actual date + time" indicates when it was logged. If the admin took notes when logging the delivery, they'll be listed on the far right.

Notes:

  • If the delivery of a scheduled medication is not logged by midnight, CampSite will automatically record it as "Missed."
  • If the delivery status was updated - e.g. an admin originally logged the medication as 'missed' but then re-logged it as 'delivered', only the current (most recent) delivery status will display in the report results.

To print the results or export them as a spreadsheet, double click the buttons annotated above.

Medical Forms Section

In the example above, Camp Firewood created a printed form (as indicated by the label beneath the form name) to allow parents to upload an immunizations file (e.g. a scanned copy of the camper's immunizations sheet from the doctor).

Please note that no medical forms will display until the camper has begun the enrollment process for the corresponding year.

Printed forms are completed by clicking the name of the form, uploading the necessary file, and submitting the form.

If you upload a blank form that parents need to download and complete, a 'download' button will also appear on the screen pictured above, allowing parents to download the blank form first.
