Release Notes 2022
Release Notes - December 14th, 2022
Today's release contains two new features:
More Staff Salary fields
Attention all camps with our Staff module: We’ve made big improvements to Staff salary.
- We created 4 new "total salary" amounts on the Salary details tab of every staff profile page: Total Salary; Total Taxable Salary; Adjusted Salary; and Adjusted Taxable Salary.
- These amounts are auto-calculated for you using their base salary; new custom "Salary amount" fields; and their total charges.
- Create new custom “salary amount” fields that comprise each staff member's total salary (like their bonus, referral salary, travel allowance, etc.) via Admin > Staff > Custom fields. Rearrange them in their desired order, and select whether or not they're taxable (for the total vs. total taxable salary calculations).
- The existing custom “salary” custom fields are now referred to as “salary information” fields. While “salary amount” fields can only contain monetary amounts that are summed into a total, “salary information” fields are for salary-related information (e.g. marital status; that doesn’t apply to their “total salary.”
- We also moved staff “Charges” into the Salary details tab so you can see salary and payroll deductions in the same place. Note that admin user permissions for staff charges vs. salary details still apply.
Click here to read a full rundown on the new and improved Staff salary details.
New Camper cell phone field
- We added a new cell phone field to camper profiles, in the basic info section along with their other “essential” information.
- Families who are already in your database can add their camper's cell phone number by logging into the parent dashboard, going to the Enrollment page, and then clicking the pencil icon to edit their camper’s basic information.
- To collect camper cell phone from new families when they create their account, go to Step 1 of the Campers Setup Wizard and enable this field on your Request for Information / New Family Enrollment forms. You can also make it mandatory, if camper cell phone is a necessity to your camp.
- If your camp already created their own camper ‘cell phone’ question and you want to copy that data into our new cell phone field, hold tight - we’ll add camper cell phone to Advanced Reports in the next few months, so you can mass edit this field and copy over any existing cell phone numbers you’ve already collected.

Today’s release features the following updates and improvements:
-
New feature!
Often times, camps need to review and/or approve certain forms that campers submit - like scholarship applications, travel forms, daily health check or lunch request forms, etc. Today's release allows you to do just that: admin users can now assign a "review status" to every submitted camper form.
To start using feature:
1. Enable form review by going to Admin > DB Management > Forms.
2. Customize the list of review statuses you can select for each submitted form by going to Admin > DB Management > Dropdown lists and editing the "Form review status" list.
3. Go to the Forms tab of a Camper's profile and double click the pencil icon on the far left of a form to apply a "review status." Click here to see screenshots and more details.
From the Forms tab of the camper profile, view the current review status of each form as well as the date the review was last updated and which admin user made the update. Apply a new review status whenever needed. Admins can also see the current review status when viewing the actual submission of the form as well.
- We also released some minor bug fixes.

Today’s release features the following updates and improvements:
Important Change: New Parent/Events Dashboard Password Procedure
As part of an ongoing security project, we're gradually updating CampSite so that passwords are no longer sent to a user via email; instead, users will choose their own password when creating their account.
In today's release, we applied this change to the Request for Information and New Family Enrollment forms. Now, both of these forms will ask primary parent 1 (P1) to set their own password for the Parent Dashboard instead of emailing them a random password once the form is submitted.
See above for a screenshot of the password fields. To see how your camp's Request for Information / New Family Enrollment forms look now (and/or to test the confirmation email), go to your camp's link for each form. If you need help, click here.
What does this mean?
- Passwords will no longer be written in the confirmation emails for these forms.
- Make sure your custom text in these confirmation emails doesn't say that a password is included in the email. To edit your confirmation emails, go to Setup Wizard Step 1 and check which saved email is selected as the "Submission confirmation e-mail" for both forms, then go to Admin > Families > Saved e-mails and click on each of those emails.
- If your Request for Info form settings on Setup Wizard Step 1 say "Include Parent Dashboard credentials?" = No, the Request for Info form will not include password fields for P1. Admins will need to grant the parent(s) credentials like usual.
- For camps with our Events and/or C&R modules, group leaders and guests will also set their own passwords when creating their accounts through the Request for Info or Direct Registration forms. Passwords will no longer be emailed when these forms are submitted.
- If a parent, group leader, or guest fills out the form with an email address that's already in your database, instead of being sent a random password automatically, they're told their account already exists and provided your log in link as well as the link to reset their password.
- For camps with our Camp Today module, when a parent adds an extended family member to their account, the extended family member is emailed a link to use for setting their own password. They're also given the option to 'decline' the invitation to Camp Today, in which case they're removed from the family's account.
- In the final phase of this project over the upcoming months, we'll also stop emailing passwords to users when an admin resets their password for them. Stay tuned for another announcement when this change has been implemented.
Improvements
- The Enrollment Requests page now includes a new toggle for choosing whether the border color on each request reflects the camper's custom color or their gender.
- We added more camper/family information to the "Enrollment form submission" email notification for admin users (when a camper submits the enrollment form if a camp is using manual processing mode).
- For camps with our Staff module, you can now view/edit a contract when generating it for a staff person (from the action menu of their profile or via the hiring wizard). Select the saved contract from the dropdown menu like usual and the body of the contract will appear within a text editor. If needed, make changes to the contract before generating. Note that any changes you make will only apply to the present contract being generated, not the overall contract template.
- When using the responsive layout for the admin side of CampSite (whether on a laptop, desktop, or mobile device), you can now drag and move the page instructions icon. Swipe it off the page to remove it completely. As soon as you refresh the page, the icon reappears in its original position, but can be moved again as needed.
- Another responsive layout update: The "Basic Info" section of the responsive camper profile page now includes their custom color and the ability to edit it. To apply a new custom color, use a color picker or type in a common color name (our personal favorite is 'orange').
Bug Fixes
- We fixed a bug that prevented admins from using the "download a preview of all invoices" function on the "generate invoices" page if any individual invoices within the batch been generated early.
- We fixed a bug that counted a different number of 'Approved' requests on the responsive version of the Enrollment Requests page if any campers were re-enrolled for some of the same enrollment options.
Release Notes - October 13th, 2022
Today’s release features the following updates and improvements:
- We added the 'Incomplete' tab to the Enrollment Requests page of the mobile responsive layout.
- We also made a few minor changes to the family profile 'add transaction' modals on the responsive layout so the functionality is more consistent with the modals in the original layout.
- We renamed the 'Nickname' field to 'Preferred Name' for campers, alumni, and staff. This change will appear on both the admin side as well as public-facing dashboards.
Release Notes - September 8th, 2022
Today's release features the following updates and improvements:
- The Rollover Wizard now includes a section for choosing whether to roll over campers' custom colors to the new year. Click here to learn more.
- We fixed a bug that occurred when admins entered a comma in the transaction amount in specific scenarios.
- We made a few minor changes to the layout of the financial section of the family profile on the mobile responsive layout (for consistency with the original layout).
- The email notification sent to admins for new enrollment requests now includes the camper's 'years at camp' information. Stay tuned for more improvements to this email coming soon!
Release Notes - July 28th, 2022
Today’s release features the following updates and improvements:
(Lots of) New Features:
- Automatic birthday emails: CampSite can now automatically email enrolled campers and hired staff on their birthdays, using the Camper/Staff "Events" tool. To find this feature, go to Admin, choose the Campers or Staff tab, select Events on the left, then click "Add action" under the birthday header. You can also have an admin task created automatically, X days before the camper or staff's birthday (and the task will be due on their actual birthday). Click here to learn more.
- Tracking payment confirmation/decline emails on a family's profile: The automatic emails that are sent when a payment is approved or declined are now recorded in the Emails tab of the family's profile page. To learn more about these emails and how to enable them, click here.
- Displaying camper custom colors on Bunking Boards: A new setting allows for bunking boards to display a camper's custom color as their bunk tile background (in lieu of their gender color). Find this setting under Admin > Campers > Bunking Boards > "Apply camper's 'custom color' as tile background". Click here to learn more.
Improvements:
- Campers and staff can now re-open and view submitted forms that don't allow editing (but can't change responses or re-submit). For now, this update applies to camper forms, staff forms, and camper and staff printed medical forms, but we plan to roll this out for other forms in the future.
- The Incomplete tab on the Enrollment Requests page got a small facelift - alternate rows are now shaded grey (like the Waitlisted tab). We also fixed a small bug when sending an email to the Incomplete tab - campers will now only appear once in the recipients area.
- When an admin changes a camper's yearly custom color, it's now recorded in the camper's History log.
- For camps with our Staff module, an applicant's cellphone number is now collected they initially create their account. Whether or not their cellphone number is mandatory is based on your Staff > Admin > Application: Basic info settings. Note that the application "Basic Info" page and "My Account" page still includes 'cellphone', too.
- It's almost the end of summer, and you know what that means - lots of financial reporting! To help make reporting easier, we've added instructions to the Financial Dashboard on how to easily generate the most common financial reports. To find them, click the Financial link in your navigation bar, then click the blue instructions icon in the bottom right corner of the page.
Release Notes - June 15th, 2022
Today’s release features the following updates and improvements:
Bug Fixes:
- For admin users using our mobile responsive layout, the 'mark as received' and 'delete submission' functions for the family forms page is now working properly.
- For camps with our Camp Today Media (blogging) module, we fixed a bug that occasionally caused videos to not playback correctly.
Improvements:
New feature: Color-coding campers!
- Today we released the first part of a new feature for labeling campers with a yearly "custom color" (regardless of their enrollment status). For now, you can only view a camper's custom color when on their profile, but as early as next month, we’ll add the option to display campers' custom colors on other tools, starting with Bunking boards (and eventually Enrollment Requests; Advanced Reports; and more).
To apply a custom color to a camper, go to their profile, select a year tab, then open the "Basic Info" sub-tab underneath (click here for a screenshot). Note: Custom colors are not shown to parents. Also, this feature is not available on our mobile layout yet.
We’ve updated the password recovery process when a user forgets their password.
- Now, when admin or front-facing user (parent, staff, guest, donor) uses the ‘What’s my password?’ tool on the login page, they’ll be emailed a link to reset their password instead of having a password created for them. We’re going to continue implementing this new reset process for all other instances where a password is assigned, so keep an eye out for more updates on this in future releases.
Release Notes - May 11th, 2022
Today's release features some exciting improvements:
We've revamped the Enrollment Requests page!
- We added more filters. You can now filter requests by camper grade/age; gender; and the payment method they selected to pay with. Checkmark the corresponding checkbox and apply the criteria, then update results.
- You can now track/delete Incomplete requests. A new ‘Incomplete’ tab displays the enrollment options that campers selected on their enrollment form but never finished enrolling for. Admins can also delete enrollment options, which will deselect them from the camper’s enrollment form and remove the camper from the ‘Incomplete’ tally in the enrollment option’s Pipeline Overview as well. Learn more by clicking here.
We created a new “Enrollment” merge field for enrollment request date and time.
- This field generates the date and time when a camper submitted their enrollment request, e.g. "12-01-2021 3:05pm". As usual, you can click the field column header to sort the report results by this field, i.e. view campers chronologically by when their requests were submitted.
- We also updated the following existing 'date' fields to also include a timestamp: Family ‘Lead date’; ‘Submitted date’ for forms; and’ Created date’ for Notes.
For camps with our Transportation module, the transportation form now has a new setting (“Transportation group shares bus capacity?”) for controlling how the bus capacity is calculated.
- This setting determines whether or not a bus capacity is shared by all sessions within the transportation session group. By default, it's set to 'No' (which is how the bus capacity has always been calculated) - where each individual session in the session group is allotted the full bus capacity. To learn more, please click here.
