Camper Profile: Yearly Tabs

The yearly tabs on the camper profile house all of the camper's yearly information relative to that year. For each year, the yearly tab will also indicate the camper's enrollment status for that year.

Select a particular year's tab to view the camper's information for that specific year.

Yearly info

The yearly info tab contains the camper's basic info, enrollment requests, enrollment questions, enrollment extras, and custom fields for the selected year.

Basic info

The Basic Info tab contains the camper's grade for the selected year as well as their custom color.

1. Grade

This is the grade that the camper is entering in the Fall of the year you've selected.  For example, the above screenshot reflects that Jill is entering 5th grade in Fall 2020.

To edit the camper's grade for the selected year, double click the current grade, choose a different value, and click OK to save your changes.

  • Parents are not permitted to change a camper's grade themselves via the Parent Dashboard, so if a camper's grade needs to be changed, an admin user must process that change manually.
  • This helps your camp stay in-the-know if a camper's grade was wrong and needs to be updated, in case it impacts the camper's existing enrollment or bunk assignment, etc.

2. Custom Color

"Custom color" is a labeling tool that allows you to color code the camper for the selected year (regardless of their enrollment status). Click here to learn more.

By default, campers have no custom color value until an admin user selects one. 

To select a color, click the custom color icon and choose a preset color; or insert a custom hex code and hit enter on your keyboard.

Enrollment Requests

The enrollment requests tab contains a summary of all of the camper's enrollment requests for the selected year. An enrollment request is created each time the camper submits the enrollment form.

  1. View the date and time the enrollment request was submitted
  2. View the status of the request (new, approved, waitlisted or rejected)

  3. Click to download a copy of the "Registration contract" for each request
  4. View which enrollment options were requested
  5. Double click to delete an enrollment requests
    • Deleting an enrollment request does not unenroll the camper, but removes record of the original request.
    • Deleting an enrollment request would allow the camper to enroll for those enrollment option(s) again.
  6. View who processed the request and when

Enrollment Questions

View the camper's responses to your general enrollment questions and enrollment option questions for the selected year. Note that the camper's enrollment option questions will depend on which enrollment options they've selected to enroll into, and if questions exist for those particular options.

Editing Enrollment Question Responses

To manually edit the camper's response to a question, double click on the current response (or, "edit..." if no response exists), change the response, and click Ok to save.

  • To edit the overall enrollment questions on your enrollment form, go to Setup Wizard Step 8; to edit the questions on an enrollment option, go to Step 9.

Adding Questions

If additional enrollment questions / enrollment option questions were added to your camp's enrollment form after the camper already enrolled, those questions will not display on the camper's profile because the camper did not fill them out.

However, admin users can manually record the camper's response to new questions by adding the questions to the camper's profile and then entering a response.

First, click the "Add question..." link for the type of question you wish to add. A pop-up window will open presenting any/all additional questions that were created after the camper already enrolled.

Checkmark which questions you wish to add to the camper's profile and click "add enrollment questions."

Next, manually record the camper's response by double clicking the word "edit...", entering the response, and clicking Ok to save.

Enrollment extras

View the enrollment extras that have been added to the camper's account for the selected year. Yearly enrollment extras will display under the "Yearly enrollment extra" header, while enrollment option extras will display beneath the name of the enrollment option.

Add Enrollment Extras

Enrollment extras are created on Step 6 of the Setup Wizard and then added to your enrollment form either as a "yearly" extra (i.e. available for purchase once a year) via Setup Wizard Step 8, or as an enrollment option extra (available for purchase per enrollment option) on Step 9.

After an extra has been created and added to your enrollment form, an admin user can manually add an extra to a camper's account via the Enrollment Extras tab of the camper's profile.

First, click the correct "Add enrollment extra..." link (depending on whether you want to add a yearly extra or enrollment option extra).

  • Note that in order to add an extra for a specific enrollment option, the camper must be enrolled in the enrollment option. If the camper is not enrolled in the option (e.g. they never signed up, or they had their sessions managed previously), you may enroll the camper for the option manually.
  1. Select an extra
  2. Choose the quantity
  3. Add extra

The extra will be added to the camper's account and a charge for the extra will be automatically added to the family's due balance.

  • If you wish to collect payment for the charge now, navigate to the Financial tab of the family's profile and post a payment.
  • If you wish to add the enrollment extra charge to the family's payment schedule, navigate to the Financial tab of the family's profile and place the charge onto their payment schedule.

Remove Enrollment Extras

Remove an enrollment extra from a camper's account to indicate that camper no longer needs the associated good/service.

To remove an enrollment extra from the camper's account, double click the delete button on the far right of the extra.

Note that deleting an extra does not automatically remove the associated fee from the family's financials.

If the family is no longer responsible for paying for the extra, an admin user must reverse or delete the associated charge from the Financial tab of the family's profile.

Yearly Custom fields

View the camper's yearly custom field data for the selected year.

To edit a camper's custom field data, double click the current value (or, "edit..." if no value exists), enter the appropriate data, and click "Ok" to save.

If you need to create/edit the yearly custom fields for your database, navigate to Campers Custom Fields tab on the Admin page (Admin > Campers > Custom Fields).

Program

If your camp has purchased CampSite's Program Module, the "Program" tab will contain the camper's activity schedule for the selected year.

Attendance

If your camp has purchased CampSite's Attendance Module, the "Attendance" tab will contain the camper's attendance information for the selected year.

Spending money

If your camp has enabled CampSite's Spending Money Module, the "Spending money" tab will contain the camper's spending money transactions for the selected year.

Camp Today Media (Facial Recognition)

If your camp has purchased CampSite's Facial Recognition Module for the Camp Today blog, "Camp Today Media" tab will contain all of the camper's facial recognition matches for the selected year.

Sessions

Enrolled campers will display a separate tab for each session in which they're enrolled (for the selected year), with each tab containing session-specific information.

Bunking

View the camper's bunking assignments for the selected session. Divisions and bunks are configured on the Bunking Boards page. Campers can be assigned a division/bunk from the Bunking Boards page or via the "Bunking tab" of their profile page.

To edit a camper's division or bunk, double click the current division or bunk name (or, "edit..." if no division/bunk exists), select a division/bunk, and click "Ok" to save.

Phone call scheduling

If your camp has purchased CampSite's Phone Call Scheduling Module, the "Phone call scheduling" tab will contain the camper's scheduled calls, and allow admins to schedule the camper for additional calls.

Session Custom Fields

View the camper's session-specific custom fields for the selected session.

To edit a camper's custom field data, double click the current value (or, "edit..." if no value exists), enter the appropriate data, and click "Ok" to save.

If you need to create/edit the session-specific custom fields for your database, navigate to Campers Custom Fields tab on the Admin page (Admin > Campers > Custom Fields).
