Camper Profile Page - Tutorial Video
We demonstrate how to use the camper profile page in our Phase 3 training below.
Manage Sessions
Use the Manage Sessions tool if a camper has requested to swap sessions within the same enrollment bundle they originally enrolled for.
The Manage Sessions tool can also be used if your camp built the wrong session into an enrollment bundle and you need to correct which session(s) a camper is enrolled in.
If you're unsure if this applies to you, read below. To jump straight to learning how to manage sessions, click here.
What are "bundled sessions"?
When creating your enrollment options for your enrollment form, you need to create bundle(s) where you select which session(s) the camper will be placed into upon enrolling for that bundle. You can select just one session, or you can select multiple sessions (where the camper either gets enrolled in all of those sessions; or they have to "pick" from multiple sessions).
For example, in the screenshot above, the Camp Firewood enrollment option contains 8 different bundles, each containing multiple sessions. Campers who add the Camp Firewood option then must select a bundle based on how many weeks they want to attend. Then, they must "pick" their sessions, i.e. which specific weeks they want out of all 8 weeks available (e.g. "pick 4 of 8").
If a camper enrolled for "Four Weeks" and selected Weeks 1-4, but wants to switch to Weeks 5-8 instead, use the Manage Sessions tool to make these changes.
When NOT to use Manage Sessions
Instead, you should un-enroll and then re-enroll the camper. |
How to Manage Sessions
2. Manage Sessions
The current sessions the camper is enrolled for will already be selected.
- Deselect the session(s) the camper wishes to remove, and select the new session(s) they wish to add.
- Click "Update Sessions" to save changes.
- To confirm which sessions the camper is currently enrolled for, look beneath their name on their profile page.
- However, the camper's enrollment request will still reflect the original sessions that the camper requested, so do not refer to "enrollment requests" to verify a camper's current sessions.
3. Updating Session Accruals
Managing a camper's sessions does not automatically update the camper's session accruals for the charges/discounts that were originally created for their enrollment.
Session accruals impact your camp's Camper Accrual Transaction Log, Camper Accrual Summary (By Session), and Camper Accrual Summary (By Accrual Period) financial reports when generating the total amount of charges/discounts allocated to specific camp sessions.
To update the camper's session accruals, an admin must manually adjust the sessions assigned to each relevant charge/discount. First, double click to edit the transaction; then, adjust the session breakdown within the transaction details.
To learn more about editing transactions, click here.
Enrolling a Camper
Use the Enrollment Wizard to approve an enrollment request submitted by the camper's parent or manually enroll a camper on the parent's behalf.
Via the Enrollment Requests page
To enroll a camper by approving their submitted request on the Enrollment Requests page, find the request you wish to approve and click the "Enroll" button on the right.
Via the Camper Profile
To enroll a camper via their profile page, click the "Enroll" link in the Action Menu of the camper's profile.
Approving an Existing Request
If the camper already submitted an enrollment request that has not yet been approved, you'll need to specify whether you wish to approve the camper's existing request or create a new request.
- Click on the options for the existing request to approve the camper for those options.
- Click "Create a new enrollment request" to enroll the camper for options other than those already requested.
Enrollment Wizard
Next, the Enrollment Wizard will guide you through the multi-step process of enrolling a camper.
If you're approving an existing request that was submitted by a parent/guardian, the wizard will be pre-filled. However, you may edit any/all selections and responses as needed.
If you're manually enrolling the camper on the parent's behalf, you'll need to enter all of the necessary information manually.
To read about a specific part of the enrollment process, use the links below to jump to a specific section of this article:
Camper Details
- View the camper's basic information.
- View the camper's primary parents' information.
If needed, click the camper's name at the top of the page to navigate to their profile page.
Step 1: Enrollment Options
First, confirm which enrollment options the camper will be enrolled into.
If you're manually enrolling the camper instead of approving a request the camper submitted, click "+ Add enrollment options..." and select at least one enrollment option(s).
If you're approving the camper for the options they already requested, it's not necessary to add enrollment options (though you can if needed).
In the pop-up window, checkmark which enrollment options to enroll the camper into and then click Add enrollment options.
- Enrollment options that the camper is already enrolled for will not appear in this list.
- Options written in grey italics are currently archived, meaning they're not publicly displayed on your enrollment form. However, admin users may still select them for enrollment.
- For each enrollment option selected, you must also select one bundle.
- If an option only has one bundle, it'll be pre-selected.
- If an option has multiple bundles, choose one.
- If the bundle requires you to pick certain sessions, checkmark the relevant sessions as well.
- If needed, click to "remove" this enrollment option so as not enroll the camper for it.
- Continue to the next step of the wizard.
Step 2: Questions + Extras
Next, review enrollment questions and enrollment extras.
- Answer any yearly enrollment questions and select any yearly enrollment extras for purchase
- Answer any enrollment option questions and and select any enrollment option extras for purchase
Only required questions must be answered before proceeding to the next step. If needed, you may edit a camper's existing responses and add or remove enrollment extras before proceeding.
Step 3: Transportation
If you have CampSite's Transportation module, the next step allows you to assign the camper's transportation for the sessions they're enrolling into.
Note: This step is optional - you may assign the camper's transportation after enrollment, if preferred.
- Assign the camper's transportation for each transportation session group their enrollment includes.
- Select their arriving and departing transportation.
- If "bus" is selected as the Method, you must then provide the bus details.
- Answer any transportation questions.
- View their transportation charges/discounts (if applicable).
- Charges/discounts will be triggered automatically if the camper meets the transaction criteria, though you can manually add/remove transactions as needed.
Step 4: Bunking
In the "Bunking" step, campers may be assigned to a division/bunk for each session they're enrolling into.
Note: This step is optional - you may assign the camper to a bunk after enrollment, if preferred.
- First, select a division.
- Next, select a bunk. Note: A bunk is not required if a division is selected.
Note: if a camper is being enrolled into multiple sessions that have divisions/bunks of the same exact name, selecting a division or bunk for one session will auto-populate the same division/bunk for all other sessions with the same bunking configuration.
Step 5: Payment Information
The final step of the enrollment process is the checkout step, where you'll confirm the payment information for this enrollment.
Financial Summary
First, review the financial summary for the enrollment options/extras/transportation that were selected earlier in the Enrollment Wizard.
- View all charges incurred for this enrollment, including tuition plans, enrollment extras, and transportation charges.
- Campers will be charged a pre-defined tuition plan based on which tuition plan has been built into the enrollment option bundle(s) selected for enrollment. To change which tuition plan rate the camper is charged, double click the pencil icon.
- View the subtotal of all charges.
- Enter a coupon code against the subtotal. If a coupon code was already entered, you may also remove it by double clicking the red delete button.
- See any selected enrollment discounts.
- View the total of all charges (i.e. the subtotal less any coupons/discounts).
Enrollment Discounts
To apply a discount towards the balance for this enrollment, select an enrollment discount.
Enrollment discounts are pre-defined on on Step 7 of the Setup Wizard. Custom discounts cannot be entered here - they must be added to the family's profile page after the enrollment is processed.
- Select a discount to apply it to the camper's balance.
- View the total of all selected discounts.
Manual vs. Automatic Discounts
- Automatic discounts will be automatically selected if the camper meets the criteria to receive them. You may remove an automatic discount by de-selecting it.
- Manual discounts must be selected by an admin in order for the camper to receive them.
Note: If any of your enrollment discounts are worth a flat amount instead of a percentage, you may select a quantity for the discount as well.
Payment Details
Next, specify the details for the payment to be made for this enrollment (upon submission of this page).
Note: Only electronic payments (via credit card or checking account) can be processed at this step. If the family has selected to pay with a non-electronic form of payment, you must select 'no payment now' to indicate that an electronic payment is not being processed. You can then record the non-electronic payment on the family's profile page after the enrollment is submitted.
- Confirm the type of payment method to be used for the present payment and for auto payments on future invoices (if you place the family on auto pay for a payment schedule).
- Select which electronic payment method to be used for payment.
- Specify the amount for the present payment.
- No payment now = an electronic payment will not be posted when this page is submitted.
-
Pay deposit = a deposit payment will be posted when this page is submitted.
- Admins may alter the deposit amount, if needed.
- Pay in full now = a payment for the full costs of the enrollment will be posted when this page is submitted.
If an electronic payment method is selected, and a payment amount specified, the payment will begin processing once you "Submit" this page.
Payment Schedule
Specify whether to place the family onto a payment schedule for paying their remaining balance in the future.
- Select a payment schedule. All transactions associated with this enrollment request will be added to the payment schedule that's selected.
- If a payment schedule isn't needed because the family is paying in full for this enrollment, select 'none'.
- Select whether to place the family onto 'auto pay' for the payments on this payment schedule.
- "No" = the family will need to pay their future invoices manually.
- "Yes" = the family will be debited automatically when an admin completes the "auto pay" step of the invoice process.
- If 'auto pay' is set to Yes, an electronic payment method must be selected above. This method will be used for the family's automatic invoice payments in the future.
Signature & E-mail confirmation
Next, confirm the parent's signature and designate whether to send an e-mail to the parents when the camper's enrollment is submitted.
- The signature of the person who submitted the enrollment request.
- If an admin is creating an enrollment request on behalf of a parent, the admin must also sign on the parent's behalf.
- The date the enrollment request was submitted.
- Select one of your saved Camper E-mails to send to the primary parent(s) upon submitting the camper's enrollment.
- Select which primary parents should receive the saved e-mail.
- Sending an email is optional. To refrain from sending an e-mail, do not select a saved e-mail and de-select all parents.
- Select whether to attach the camper's registration contract and/or a copy of the family's financial statement to the confirmation e-mail.
Complete Enrollment
To finalize the camper's enrollment, click the "submit enrollment" button at the very bottom of the page.
Upon clicking this button,
- The camper will be enrolled.
- Any electronic payment will be debited and posted to the family's account.
- The confirmation e-mail will be sent to the selected parents.
You'll then be redirected to the camper's profile, which will reflect the camper's new enrollment.
Enrolling a Camper - Tutorial Video
Use the Enrollment Wizard when you're approving a camper's enrollment request or manually enrolling a camper.
Watch the clip below from our Phase 2 training where we demonstrate step-by-step how to use the enrollment wizard to process a camper's enrollment.
Unenrolling a Camper
Use the Unenrollment wizard to remove a camper from some or all enrollment options/bundles.
- There's more than one tool for altering a camper's enrollment, depending on how your camp's enrollment options are configured and what sort of change the camper has requested. Learn more here.
To access the Unenrollment Wizard, navigate to the camper's profile page, open the Action Menu, and click the "Unenroll" link for the appropriate year.
Unenroll Wizard
- Select which of the camper's enrollment options to remove the camper from.
- If the camper previously had their sessions changed via the "Manage Sessions" tool, you can select to remove the camper from "Other sessions" that are not associated with their original enrollment requests.
- Select whether or not remove the family from the payment schedule(s) associated with the options the camper's being unenrolled from.
- If the camper has an enrolled sibling who's also associated with one of these schedules, the schedule cannot be removed.
- If desired, add a cancellation fee to the family's balance.
If you're only unenrolling the camper from some (but not all) options/sessions, you must manually reverse the relevant charges via the family's profile page after submitting the unenrollment. To learn how, click here.
Completely Unenrolling a Camper
When a camper is being unenrolled from all of their enrollment options for the year, the following questions will appear at the bottom of the page.
New Status
Select which status to apply to the camper once they're unenrolled. By default, "Cancelled" will be applied, unless you choose a different status. Remember, you can report on campers by their lead status.
If needed, you can create new statuses by going to Admin>Campers>Lead Statuses.
Decrease 'Years at camp' by 1
Select whether to decrease the camper's "Years at camp" tally by 1.
Every camper has a "years at camp" tally based on the number of years they've enrolled for camp. Here, you can select to decrease their "years at camp" tally by 1 so that it reflects that the camper did not attend camp this year.
Reverse all of this camper's charges for the year
Select whether to reverse all of this campers charges for the year.
- Reversing the camper's charges will remove all of the fees that the family had incurred for the camper's enrollment(s) this year in order to reflect that they're no longer responsible for paying those fees.
- Reversing charges does NOT refund any payments. If the family should receive a refund, you must issue a refund manually via the family's profile page. To learn how to issue a refund, please see our support article or tutorial video.
Also, enrollment extras must be manually removed from the camper's profile page (via the Enrollment Extras tab).
To complete the unenrollment process, click the Unenroll camper button at the bottom of the page.
You'll then be redirected to the camper's profile, which will now reflect their new enrollment status.
Is there a way to mass unenroll campers?
There is not.
Enrollment changes must be completed one camper at a time. We understand that this is not ideal during the current circumstances, but because of the many variables and specific details related to unenrolling - particularly financials - admins must unenroll campers individually to ensure accuracy.
Merging Duplicate Camper Accounts
This article explains how to merge duplicate camper accounts within the same family. If you have duplicate family accounts that need to be merged, follow these instructions instead.
If a family has created duplicate accounts for their camper, CampSite's "Merge Tool" allows you to merge the duplicate campers together while preserving the data from both accounts.
Important information regarding the merge process:
The Merge Tool will merge accounts by copying the data from one account (called the “source” account) into the other account (called the “destination” account), so that the destination account contains both sets of data. Then, the source account is deleted so only the destination account remains.
Certain fields can only store one piece of data (e.g. first/last name, date of birth, question responses, form submissions, and more). If both camper accounts have data for one of those fields, CampSite will NOT copy the source camper's data - it'll only keep the destination camper's data.
During the merge process, you'll need to select which camper's account should serve as the source vs. the destination. This distinction determines which value will be retained in situations where CampSite can only keep one.
- Tip: The camper account with the most accurate or up-to-date data should serve as the "destination."
- We cannot "undo" a merge that was completed incorrectly.
Completing the Merge
To begin, navigate to the family profile that contains duplicate campers.
Click the Action Menu to select “Merge into another family”.
- For the "Destination Family ID," enter the family’s ID number (i.e. the same ID number listed at the top of the page).
- Click “Continue to next step.”
Next, you'll be presented each camper account within this (1) family.
On the left, identify which camper account you would like to designate as the "source account" (note the different ID numbers that distinguish the accounts).
When you've identified the source camper, click the dropdown menu to the right that says "Do nothing with this camper" and then select the destination camper account.
The Merge Tool will now show that the source camper will be merged into the destination camper. So, if there's duplicate sets of data where they can only be 1, CampSite will only maintain the data that's on file for the camper on the right.
Finally, you'll need to:
- Carefully read "How this merge tool works" to make sure you've designated the source/destination campers correctly
- Check mark that you've read and understand the implications.
- Click "Complete merge" to finalize the merge process.
Again, we cannot "undo" a merge, so please proceed with caution!
After the merge is complete, you'll be redirected to the family's profile again, now containing a single account for the two campers that have been merged.
If both of the duplicate campers were enrolled for the same session(s) prior to the merge, navigate to the Financial tab of the family's profile to reverse any duplicated charges/refund any duplicate payments, if applicable.
Camper Profile: Basic Info Tab
The "Basic info" tab contains basic information about the camper, including their permanent custom fields of data.
All information within the Basic Info tab is considered "permanent" in that it's not updated on a yearly basis or associated with a specific enrollment year - the data within this tab is maintained on the camper's account year after year, until a parent or an admin user manually updates the information, if needed.
Essentials
View/edit the essential information for this camper.
Most* of this information is collected from the family when they initially create their family's account for the Parent Dashboard. This information is then saved to their account and does not need to be re-entered year after year (e.g. if the camper returns to camp).
*The following data is not collected from parents:
- "Years at Camp" is calculated by CampSite, based on the number of years for which the camper has enrolled for at least one session. If needed, you may edit this value by double clicking.
- "Ready for facial recognition?" will only display to camps who have purchased Facial Recognition for their Camp Today blog module. This field indicates if the camper has a reference photo that can be used for facial recognition purposes.
- "How created" is recorded by CampSite to indicate how the camper's account was created. This cannot be edited.
Editing Information
Parents can edit their camper's information from the "Enrollment" page of the Parent Dashboard. If your camp currently has enrollment disabled, they can edit their camper's info via the "My Account" page.
Please note: Parents cannot edit a camper's date of birth, gender, or grade, so as to prevent them from falsifying their camper's information in order to enroll for a session the camper is not naturally eligible for. These fields must be edited by an admin user.
Admin users may edit camper information manually by double clicking the current data on file for the camper. For example, to edit date of birth, double click the current date of birth on file.
When editing date of birth, a calendar modal will then open to allow you to click and select a different date of birth for the camper. Once the new date of birth has been selected, click the "Ok" button to save your changes. The camper's age will automatically recalculate based on the new date of birth that's been entered.
Note that grade must be edited from the yearly tab, not the Basic Info tab.
Permanent Custom Fields
View/edit the permanent custom fields of information for this camper.
- To add/edit/remove which permanent custom fields appear on all camper profiles, go to Admin > Campers > Custom Fields.
Editing Custom Field Data
To add or edit data within a custom field, double click the data field.
Enter new information as needed, then click the "Ok" button to save your changes.
Camper Profile: Yearly Tabs
The yearly tabs on the camper profile house all of the camper's yearly information relative to that year. For each year, the yearly tab will also indicate the camper's enrollment status for that year.
Select a particular year's tab to view the camper's information for that specific year.
Within each yearly tab, you'll find the following sub-tabs: | |
Yearly info
The yearly info tab contains the camper's basic info, enrollment requests, enrollment questions, enrollment extras, and custom fields for the selected year.
Basic info
The Basic Info tab contains the camper's grade for the selected year as well as their custom color.
1. Grade
This is the grade that the camper is entering in the Fall of the year you've selected. For example, the above screenshot reflects that Jill is entering 5th grade in Fall 2020.
To edit the camper's grade for the selected year, double click the current grade, choose a different value, and click OK to save your changes.
- Parents are not permitted to change a camper's grade themselves via the Parent Dashboard, so if a camper's grade needs to be changed, an admin user must process that change manually.
- This helps your camp stay in-the-know if a camper's grade was wrong and needs to be updated, in case it impacts the camper's existing enrollment or bunk assignment, etc.
2. Custom Color
"Custom color" is a labeling tool that allows you to color code the camper for the selected year (regardless of their enrollment status). Click here to learn more.
By default, campers have no custom color value until an admin user selects one.
To select a color, click the custom color icon and choose a preset color; or insert a custom hex code and hit enter on your keyboard.
Enrollment Requests
The enrollment requests tab contains a summary of all of the camper's enrollment requests for the selected year. An enrollment request is created each time the camper submits the enrollment form.
- View the date and time the enrollment request was submitted
- View the status of the request (new, approved, waitlisted or rejected)
- To learn more about processing enrollment requests, click here.
- Click to download a copy of the "Registration contract" for each request
- View which enrollment options were requested
- Double click to delete an enrollment requests
- Deleting an enrollment request does not unenroll the camper, but removes record of the original request.
- Deleting an enrollment request would allow the camper to enroll for those enrollment option(s) again.
- View who processed the request and when
Enrollment Questions
View the camper's responses to your general enrollment questions and enrollment option questions for the selected year. Note that the camper's enrollment option questions will depend on which enrollment options they've selected to enroll into, and if questions exist for those particular options.
Editing Enrollment Question Responses
To manually edit the camper's response to a question, double click on the current response (or, "edit..." if no response exists), change the response, and click Ok to save.
Adding Questions
If additional enrollment questions / enrollment option questions were added to your camp's enrollment form after the camper already enrolled, those questions will not display on the camper's profile because the camper did not fill them out.
However, admin users can manually record the camper's response to new questions by adding the questions to the camper's profile and then entering a response.
First, click the "Add question..." link for the type of question you wish to add. A pop-up window will open presenting any/all additional questions that were created after the camper already enrolled.
Checkmark which questions you wish to add to the camper's profile and click "add enrollment questions."
Next, manually record the camper's response by double clicking the word "edit...", entering the response, and clicking Ok to save.
Enrollment extras
View the enrollment extras that have been added to the camper's account for the selected year. Yearly enrollment extras will display under the "Yearly enrollment extra" header, while enrollment option extras will display beneath the name of the enrollment option.
Add Enrollment Extras
Enrollment extras are created on Step 6 of the Setup Wizard and then added to your enrollment form either as a "yearly" extra (i.e. available for purchase once a year) via Setup Wizard Step 8, or as an enrollment option extra (available for purchase per enrollment option) on Step 9.
After an extra has been created and added to your enrollment form, an admin user can manually add an extra to a camper's account via the Enrollment Extras tab of the camper's profile.
First, click the correct "Add enrollment extra..." link (depending on whether you want to add a yearly extra or enrollment option extra).
- Note that in order to add an extra for a specific enrollment option, the camper must be enrolled in the enrollment option. If the camper is not enrolled in the option (e.g. they never signed up, or they had their sessions managed previously), you may enroll the camper for the option manually.
- Select an extra
- Choose the quantity
- Add extra
The extra will be added to the camper's account and a charge for the extra will be automatically added to the family's due balance.
- If you wish to collect payment for the charge now, navigate to the Financial tab of the family's profile and post a payment.
- If you wish to add the enrollment extra charge to the family's payment schedule, navigate to the Financial tab of the family's profile and place the charge onto their payment schedule.
Remove Enrollment Extras
Remove an enrollment extra from a camper's account to indicate that camper no longer needs the associated good/service.
To remove an enrollment extra from the camper's account, double click the delete button on the far right of the extra.
Note that deleting an extra does not automatically remove the associated fee from the family's financials.
If the family is no longer responsible for paying for the extra, an admin user must reverse or delete the associated charge from the Financial tab of the family's profile.
Yearly Custom fields
View the camper's yearly custom field data for the selected year.
To edit a camper's custom field data, double click the current value (or, "edit..." if no value exists), enter the appropriate data, and click "Ok" to save.
