Financial: Communication

From your Financial: Communication settings, you can control your automatic email notifications for approved and declined transactions within the Campers module, as well as custom texts that appear on financial statements and invoices.

To access your Financial: Communication settings, go to Admin>Campers>Financial: Communication.

Automatic Emails for Approved Transactions

Control whether or not CampSite automatically sends an email when a credit card or checking account transaction is approved.

If these emails are enabled, the email will be sent to the "billing address" associated with the payment method that was used.

  1. When a credit card transaction is approved, select whether or not to send automatic emails to the billing address on file for the card.
  2. When a checking account transaction is approved, select whether or not to send automatic emails to the billing address on file for the card.
  3. Add additional text to the automatic email.
    Note: The automatic email already contains standard text auto-populated by CampSite. See below for an example:
  1. This text automatically appears in the email. It cannot be edited.
  2. This is where your additional text would appear.

Automatic Emails for Declined Transactions

Control whether or not CampSite automatically sends an email when a credit card or checking account transaction is declined.

If these emails are enabled, the email will be sent to the "billing address" associated with the payment method that was used.

  1. When a credit card transaction is declined, select whether or not to send automatic emails to the billing address on file for the card.
  2. When a checking account transaction is declined, select whether or not to send automatic emails to the billing address on file for the card.
  3. Add additional text to the automatic email.
    Note: The automatic email already contains standard text auto-populated by CampSite. See below for an example:
  1. This text automatically appears in the email. It cannot be edited.
  2. This is where your additional text would appear.

Custom Text on Invoices and Statements

In the bottom portion of the "Financial: Communication" tab, you can add additional text to appear on all financial statements and invoices that are generated from your database.

  1. Provide additional text to appear above the Payment Coupon
    Payment coupons appear at the bottom of invoices that are not set up for auto pay. Parents can detach the coupon, write their payment method information, and mail it to your camp so that an admin can manually process the payment.
  2. Provide custom text to display on all financial statements
  3. Choose whether or not to display all of the campers' session dates on each family's statement*
  4. Provide custom text to display on all invoices
  5. Choose whether or not to display all of the campers' session dates on each family's invoice*

*If enabled, the dates will display in a bulleted list at the bottom of the invoice.

Tips:
- You can preview your statements by generating a statement for one of your families (via their Financial tab). Click here to learn more.
- You can preview invoices during the "generate invoices" step of the invoicing + auto pay process (learn more); or, open a previously generated invoice from a family's profile page (learn more).
- To preview the payment coupon, review an invoice that's not set up for auto pay.
