Bunk Scheduling: Segments

Creating Segments

There are several elements needed to create Activity Schedules - which Division(s) of campers you plan to schedule; which Activities you want to include on the schedule; and then the Cycles/time Periods of the schedule itself.

Each Activity Schedule - and all the elements needed for creating it - are contained within a Segment. Segments are created for specific sessions, and each session can have 1 or more Segments as needed. Typically, Segments are created based on which Bunk(s) of campers you plan to assign to your Activity Schedule.

For example, if you have a different Activity Schedule for younger campers vs. older campers, you could create 2 Segments: one Segment containing younger Bunks and their activities; and then a  second Segment containing your older Bunks and their activities.

To begin, access the Program Dashboard via CampSite's navigation bar.

Creating Segments

Next, click the Segments link to begin creating Segments.

Note that there are (2) different types of Activity Schedules you can create, based on how you plan to assign campers to your schedule(s).

With Bunk Scheduling, an entire Bunk of campers is scheduled for the same activity during a given time period (including all staff assigned to oversee that Bunk).

With Elective Scheduling, campers and staff are scheduled for each activity individually, instead of with their entire bunk.

After selecting the appropriate Segments link, on the next screen, you'll see a list of every camp session created (per CampSite year). Segments are created within specific sessions, allowing you to create an Activity Schedule for the campers enrolled in that particular session.

To create a new Segment, click " +Add segment... "

Enter the segment details in the pop-up window.

  1. Select which Session you want to create the Segment for. You'll then create an activity schedule for the campers enrolled in this particular session.
  2. Create a Name for the Segment
  3. Click Submit to create the Segment

Segments will appear in alphabetical order underneath the Session they've been created for.

Create as many Segments as needed, then begin managing each Segment. For more information on managing Segments, read more our other articles on managing Bunk Segments or managing Elective Segments.

Managing Segments

Managing Segments is the second step in the Bunk Scheduling process. Now that you've created your Segment, we need to add the Divisions, Activities, and Cycles that comprise the Segment.

Choose the Segment you would like to manage by clicking on the Segment icon, to the left of the Segment Name.

Divisions, Activities, Cycles

The Segment Management page will now appear where you will be able to manage your:

  1. Divisions assigned to this Segment
  2. Activities available for this Segment
  3. Cycles for this Segment
Adding Divisions to a Segment

Specify which campers you'll be assigning to Activities by adding their Divisions to the Segment. When you're ready to start scheduling your Activities, you'll select from the campers in the Divisions that have been added to the Segment here.

Adding Divisions to a Segment

To add a Division to a Segment, click " +Add division... "

  1. Select a Division to add to the Segment. Note: you'll be presented all Divisions created for the session this Segment exists within. To add/edit these Divisions, go to the Bunking Board page for this session.
  2. Click Submit to add the selected Division to the Segment.

Divisions will display in the order in which they're ranked on the Bunking Board page.

Adding Activities to a Segment

Specify all the Activities you plan to schedule by adding each Activity to the Segment. When you're ready to start creating your schedule, you'll select from the Activities that have been added to the Segment here.

Adding Activities to a Segment

To add an Activity to a Segment, click " + Add activity... "

Bunk Scheduling

  1. Provide the name of the activity
  2. Select a Location for the activity (from the list of Locations already created)
  3. Set the default maximum bunk count for this Activity (i.e. the maximum number of bunks that can be assigned to this Activity at a given time)
  4. Click Submit to create the Activity

Elective Scheduling

  1. Provide the name of the activity
  2. Select a Location for the activity (from the list of Locations already created)
  3. Set the default maximum camper count for this Activity (i.e. the maximum number of campers that can be assigned to this Activity at a given time)
  4. Set the default maximum camper count for this Activity (i.e. the maximum number of campers that can be assigned to this Activity at a given time)
  5. Click Submit to create the Activity

The Activities you have added to this Segment will show up in alphabetical order by Name.

To edit the Name, Location, or Max Bunks for an Activity, double click the current settings. Make the necessary changes and then click "OK" to apply them.

To delete an Activity, double click the delete button on the far right. An Activity can only be deleted if it has not yet been added to your Activity Schedule.

Copying Activities to another Segment

If you want to use the same Activities in multiple Segments, create the Activities in one Segment and then use the Copy function to copy them all to another Segment you've created.

Within the Segment page, click "Copy activities from this segment..."

  1. Select the Segment into which you want to copy the present Activities.
  2. Click "Copy these activities" to copy the activities.

All Activities from the present Segment will then be copied to the Destination Segment you selected.

Adding Cycles to a Segment

Cycles refer to the time frame for one particular Activity Schedule. You'll then create an Activity Schedule for the duration of the Cycle (on a daily basis).

If needed, you can create multiple Cycles within a Segment (if you plan to have different Activity Schedules within the Segment).

To add a Cycle to a Segment, click " +Add cycle... "

  1. Provide a name for the Cycle
  2. Specify the start date of the Cycle
  3. Specify the end date of the Cycle
  4. Click Submit to add the Cycle to the Segment

All Cycles will be listed in chronological order by start date.

Edit the name of a Cycle by double clicking the current name. The start and end dates cannot be edited afterwards; instead, delete the Cycle and re-create it. Double click the delete button on the far right to delete the Cycle (but note that Cycles can only be deleted if nothing is set up within it yet).

Bunk Scheduling: Cycles

Managing a Cycle

Managing Cycles is the third step in the Activity Scheduling process. Now that you've fully created your Segment and Cycles, we need to add the Periods that comprise the Days within the Cycle.

Opening a Cycle

To open a Cycle, click on the "Cycle Icon" to the left of the Cycle you would like to manage.

The Cycle management page will open up and show you each Day within the Cycle. From this page you are able to:

  1. Add Periods to Days within the Cycle
  2. View the Cycle Grid
  3. Copy Periods to another Date
Adding Periods to a Day

Cycles consist of Days in which Periods take place.

Days can have as many or as few Periods as you would like.

Periods represent a time frame in which Activities take place.

To add a Period to a day click " +Add period... "

A pop-up window will appear that asks you which Date you would like to copy.

  1. Choose the Source Date from the drop-down list
  2. Choose a Destination Cycle from the drop-down list
  3. Select which Dates within the Destination Cycle you would like to copy to
  4. Click "Copy this date" to copy the Periods within the Source Date to the Destination Cycles and Dates

The Periods within the Date you have chosen to copy will now appear in the Destination Cycle and Dates you selected in the previous step.

The Cycle Grid - Bunk Scheduling
