Family Profile Page

Family Profile Page - Tutorial Video

We demonstrate how to use the camper profile page in our Phase 3 training below.

Family Profile Page: Overview
  1. The family's name (double click to edit)
  2. The campers within the family (click a camper's photo to access the camper's profile)
  3. Quick Notes
  4. Tabs of information
  5. Action Menu

Quick Notes

Record "quick" notes about a family via the yellow Quick Notes section of the family profile.

  • Quick Notes are for admins and cannot be accessed by the family.
  • Quick Notes are saved permanently (year after year), unless an admin edits or deletes them.

To add or edit Quick Notes, double click the yellow sticky note and the text area will become editable.

  1. Add/edit the content of the Quick Notes as needed.
  2. Click Ok to save your changes.

Profile Tabs

The family's information is stored in different tabs. To learn more about each tab, please refer to the support article for the relevant profile tab by clicking here.

Action Menu

Complete various actions for this family's account using the Action Menu.

Click the Action Menu to dropdown the following action items:

  1. Send an e-mail to the family.
  2. Send a text message if the parent is opted in.
  3. Generate one of your saved Family Documents with this family's information.
  4. Generate one of your saved Family Labels with this family's information.
  5. Generate a "lead card" with this family's lead data.
  6. Reset the Parent Dashboard passwords for the parents within this family.
  7. Reset or send the Attendance PINs for each parent in the family.
  8. Add a camper to the family.
  9. Open an interactive map indicating the camper's home address along with the nearest families that live close by.
  10. Merge this family into another family account (i.e. when duplicate accounts are created).
  11. Permanently delete this family's account and all data related to the family. A family cannot be un-deleted, so choose this action carefully!

Two-Factor Authentication Deactivation Tool

The "Disable 2FA" option will only appear in the Action Menu if a Family or Staff member has previously activated Two-Factor Authentication on the parent dashboard or staff dashboard.

Family and Staff profiles now feature a "Disable 2FA" tool in the Action Menu restricted by the Campers > Basic > Edit admin permission, which strips the lock, logs history data, and triggers a confirmation alert to the end user.

When this option is selected in the action menu, CampSite will ask which parent on the Family Profile page needs two-factor authentication removed. Two-factor authentication can be disabled for one parent at a time if needed. Choosing a parent on this page and confirming by clicking on "Disable 2FA" will disable the two-factor requirement, log history data on the profile, and triggers a confirmation alert to the parent via email.

Resetting a Parent's Password

Admin users can manually reset  a parent's password via the Action Menu.

  • Note that parents can also reset their password themselves by navigating to the login page for your camp's Parent Dashboard, clicking "What's my password?", and entering the email address associated with their account.

There are two options for resetting a parent's password:

Set a new password

Choose this option to set the parent's password for them initially. They can then reset their password as soon as they log into the dashboard.

Enter a password (or, double click the wand icon to autogenerate a password), select which parents to set it for, and submit. Provide the parent with their new password and your Parent Dashboard link for logging in. For security purposes, we don't recommend putting the password into an email.

Merging Duplicate Family Accounts

Occasionally, families will create duplicate accounts for the Parent Dashboard, resulting in two versions of the family within your database.

CampSite's "Merge Tool" allows you to merge duplicate accounts together by copying the data from one account (called the “source” account) into the other account (called the “destination” account). Once the destination account contains the data from both accounts, the source account is then deleted.

If you just need to merge duplicate accounts within the same (1) family, please click here.

Note: We cannot "undo" a merge, so please proceed with caution!

Choosing the Source vs. Destination Account

The family profile you're on when opening the Merge Tool is the "source" account. Designating the source vs. the destination is significant when it comes to "conflicting data" - i.e. when both accounts have a different value for a field that can only have one (e.g. a parent can't have more than one first or last name, primary e-mail address, home address, cell phone number, etc).

When it comes to conflicting data, the Merge Tool will keep the "destination" data & delete the "source" data, so you should designate the "destination" account as the account you'd like CampSite to defer to when data conflicts.

For example, the Smith family has 2 accounts. On account #1, P1's email is parent@mail.com. On account #2, P1's email is mom@mail.com. If you want to retain P1's email as parent@mail.com, account #2 should be the source account and account #1 should be the destination.

Step 1: Identify the ID Number for the Destination Account

Once you determine which account will serve as the source and which as the destination, navigate to the destination family profile page and make note of their family ID number (located at the end of the URL, as shown above).

You'll need to enter this number into the Merge Tool later, so make sure you remember it correctly.

Step 2: Go to the Source Account and Open the Merge Tool

Next, navigate to the family's other account (i.e. the source account), open the Action Menu, and click "Merge into another family..."

Step 3: Complete the Merge

There are 3 parts to completing the merge process.

Enter the Destination Family ID

  1. Enter the family ID number for the destination account that you noted earlier.
  2. Click to “continue to next step."

Review the Merge Settings

Next, review the merge settings.

  1. Verify that the 2 correct accounts are listed. If not, go back and step and adjust the ID number.
  2. Review the instructions for how to handle duplicate campers.
  3. View each camper in the source family. Click the dropdown menu on the right to choose which camper in the destination family you want to merge them into. Or, select "do nothing with this camper," and the camper will be copied over to the destination account as is.

Complete the Merge

  1. Carefully read the implications of completing this merge.
  2. Check mark that you've read and understand the implications.
  3. Click "Complete merge" to finalize the merge process.

We cannot "undo" a merge, so please proceed with caution!

Once the merge is complete,  you'll be redirected to the destination family profile.

Note that the parents will need to make sure they use the email/password for the destination account to access the Parent Dashboard.

  • View the family's current payment schedule(s), including the payment dates for each schedule
    • If the family has already been invoiced for a particular payment date, admins can view the invoice details; download a PDF copy of the invoice; edit the "amount due"; and edit the amount of payment that was applied to the invoice
  • Add/edit/delete payment dates
  • Generate and send invoices for a payment date (outside of the batch invoice process)
  • Manage the family's invoice preferences (i.e. which parent is designated to receive invoices when the family is invoiced in batch)

To learn more, please read our Invoices tab article.

Credit Cards

The Credit Cards tab lists the saved credit cards that have been added to the family's account. From the Credit Cards tab, admins can:

  • Add or delete credit cards
  • View when/how the card was added to the family's profile and how many times the card has ever been declined
  • Edit the expiration date; cardholder name; billing address; and billing email for a card
  • Designate a "primary" card (for use with auto payments towards their payment schedule[s])

To learn more, please read our Credit Cards tab article.

Checking Accounts

Note: This tab will only display for camps who have arranged, via their payment gateway, to process checking account transactions.

The Checking Accounts tab lists the saved checking accounts that have been added to the family's account. From the Checking Accounts tab, admins can:

  • Add or delete checking accounts
  • View when/how a checking account was added to the family's profile
  • Designate a "primary" checking account (for use with auto payments towards their payment schedule[s])

To learn more, please read our Checking Accounts article.

Family Profile: Transactions Tab

The Transactions tab provides a summary of the family's account balance (per year).

Admin users can also add, reverse, and delete transactions to alter the family's balance as needed, and obtain PDF financial statements.

Financial Notes

Here, admins can view/add/edit notes regarding the family's financials. Financial notes are not accessible by parents - only by administrative users (who have been granted "Financial management" permission for the Camper's module).

Financial notes can be accessed from the family's profile and within the results of the Family Summary report; they can also be generated in mass via Advanced Reports.

  1. Type within the textbox to add/edit a financial note.
  2. Click "Save financial notes" to apply your changes.

Transactions

Transactions are organized into two sections: charges & discounts and payments, credits, & refunds.

Charges and Discounts

Charges and discounts are located on the lefthand side of the Transactions tab and are organized by camper.

A charge represents the price asked for a service or good (e.g. the cost to attend a session; the price of an enrollment extra; etc.), while a discount represents a reduction in the usual price asked for a service or good.

All camper charges and discounts are totaled together to calculate the family's total charges that they need to pay for that enrollment year.

  • To learn more about charges and discounts (including how to create and/or reverse them), click here.

Payments, Credits, and Refunds

Payments, credits, and refunds are listed on the righthand side of the Transactions tab.

Unlike charges and discounts, these transactions are not associated with specific campers, so they're organized into one chronological list.

A payment represents money that your camp has received from the family. A credit is like a form of payment in that it reduces the family's balance without transacting funds via your payment gateway/debiting the family. A refund represents payment that your camp returned to the family.

All payments, credits, and refunds and are totaled together to calculate the total payments that have been made.

  • Learn more about payments, credits, and refunds (including how to create them), in our respective Support Articles:

Highlighted Transactions

The yellow highlight indicates that the transaction is not associated to the family's payment schedule, which means that the family's invoice(s) will not include the transaction. The transactions included on an invoice determine the amount that the family is asked to pay, so "missing" transactions can result in the family being under or over-invoiced.

If the family's invoice(s) should include this transaction, update the "payment schedule" setting for the transaction.

To do that, double click the "i" icon to edit the transaction details.

In the transaction details pop-up, find the Payment schedule field and double click on the word "None".

Select the payment schedule from the dropdown menu that opens and then click OK to save your changes.

When you close out of the pop-up window and refresh the family's profile page, the transaction will no longer be highlighted yellow.

Double click on the text in the "Category" line item to change the Transaction category that the transaction is associated to. Choose a category and click "OK" to save.

For more information on Transaction Categories please see: Step 3: Transaction categories

Double click on the description text to change the description of the transaction. This description can be searched for in certain Financial Reports on the Financial Dashboard.

Click on the "+ Add session breakdown..." option to allocate the funds for this transaction across more than one session.

Choose a second session and then split the full amount of the transaction across both sessions. This will split the amount for the transaction across both sessions for financial reporting purposes. For more information on accrual accounting please see: Accrual assigner

Current Balance

The family's current balance is calculated by subtracting the total payments for the year from their total charges for the year.

  1. View the family's current balance for the enrollment year that's been selected.
  2. Double click to download a PDF copy of the family's itemized statement.
  3. Double click to attach a PDF copy of the family's itemized statement to an outgoing email.

Statements

A statement provides a list of every transaction on the family's account for a specific enrollment year and their current total balance (i.e. a sum of all charges minus all payments).

Note that transactions that have been reversed or deleted will not display on the family's statement.

Custom Date Range

By default, the statement includes all non-reversed and non-deleted transactions for the corresponding camp year, but you can control the time frame of the statement by entering a custom date range, if needed.

If you enter a custom date range, only transactions dated within that date range will appear on the statement (for the corresponding camp year that you're working under). Note that reversed transactions still do NOT display on the statement, even if they were not reversed during the custom date range that you enter.

To include all transactions for the corresponding camp year you're working under, leave the date range blank.

Statement Example

  1. Your camp's logo image.*
  2. Your camp's address.*
  3. The family's home address
  4. All active transactions on the family's account (for the specific enrollment year that the statement was generated for)
  5. The family's current balance (i.e. a sum of all charges minus all payments)
  6. Custom text that your camp has added to all statements. Add/edit custom text by going to Admin>Campers>Financial: Communication>Custom text to display on all statements.
  7. A list of all sessions that every camper within this family is currently enrolled for. Toggle whether or not to display sessions on statements by going to Admin>Campers>Financial: Communication>Show session dates of campers on all statements

*If you wish to change your logo or address, please submit a request to CampSite support.

Family Profile: Invoices Tab

The Invoices tab provides a summary of the family's payment schedules. From this tab, admins can edit the family's payment schedules/invoices and also manually generate and send invoices to the family (outside of the invoice batch).

  1. Add a new payment schedule.
  2. Manage existing payment schedules.
  3. Manage the family's invoice preferences.

Payment schedule data is saved per enrollment year. Select an enrollment year using the "Year" dropdown menu.

Add a Payment Schedule

Admin users can manually add a payment schedule to a family's account (e.g. if the family didn't originally sign up for a payment schedule when their camper enrolled).

  • After you add a payment schedule to a family's account, you also need to manually add transactions to that payment schedule (details below).
  • A family can only be on one payment schedule per payment schedule group. If the family is already on a payment schedule for a certain group, you cannot add them to another payment schedule within that group. If needed, you can switch them from one schedule to another within the same group using the wrench icon.

To manually add a new payment schedule to the family's account, click the "Add payment schedule..." link.

  1. Select a payment schedule group
    • Again, families can only be on 1 schedule per group. If the family is already on a schedule for a certain group, the group will not appear here for you to select.
  2. Select a schedule within that group
  3. Click Add payment schedule to add this schedule to the family's account

The new payment schedule and invoices will now appear on the family's account.

  • By default, no transactions will be added to this payment schedule. To add transactions to this payment schedule, navigate to the Transactions tab. Find the transaction(s) you wish to place on this schedule, open the transaction details, and edit the payment schedule listed for the transaction.
  • All invoices will not be set to auto pay. To place an invoice on auto pay, edit the invoice.

Manage a Payment Schedule

For each payment schedule:

  1. View the Payment Schedule Group that the schedule falls under
  2. View the name of the Payment Schedule
  3. Double click to download a statement for the entire payment schedule
  4. Double click to remove/switch a payment schedule
  5. Add a new invoice (i.e. another payment date) to the schedule
  6. Edit invoices; generate and send invoices; download and delete invoices

Download a Statement

Locate the correct payment schedule and then double click the statement icon to the right of the schedule name (circled above).

CampSite will generate a PDF statement listing all transactions associated to this particular payment schedule and the total balance for the entire schedule.

The amount due for each invoice will be determined by dividing the "current balance" of the schedule by the total number of invoices.

Add an Invoice

Add another payment date to the family's payment schedule by adding an invoice. Note that adding an additional invoice to the family's schedule will decrease the amount due on each individual invoice.

Note that the new payment date will only be added to this family's payment schedule, but not to other families that are also on this schedule. To add a new payment date for ALL families, edit the overall payment schedule.

To add a new payment date, first, locate the correct payment schedule, and then click the "add new invoice..." link right beneath the name of the schedule.

  1. Select a date (on which the payment will be due)
  2. Click "Add invoice" to add the new date to the payment schedule

The new payment date will be added to the family's schedule. The star icon indicates that this payment date is not a primary payment schedule date for all families, but was manually added to this particular family.

Admins can generate and send this invoice manually via the family's profile page, or via the payment schedule page using the "Other dates with invoices" section for the overall payment schedule.

Remove/Switch Payment Schedules

Use the wrench icon for each payment schedule group to alter which payment schedule the family is on for that group. Admins can also remove the family from a payment schedule using this icon.

Locate the correct payment schedule group and then double click the wrench icon listed for that group (as shown above).

In the pop-up window that opens, select a different payment schedule to place the family on or select "None" to remove the family from the current payment schedule and not assign them to a new one. Click "Change payment schedule" to confirm your changes.

  • Changing the payment schedule will delete all invoices and recreate new ones for the new payment schedule's dates.
  • When switching a family from one schedule to another (in the same payment schedule group), all transactions that were assigned to the previous payment schedule will be automatically re-assigned to the new payment schedule.

Generate and Send an Invoice

Admins can generate and send a particular invoice to a family outside of the typical batch process. This tool can also be used to preview how much the family's invoice will be once it's generated.

To generate and send an invoice, or preview the invoice amount, double click the envelope icon for the correct invoice.

Next, a pop-up window will open where you'll confirm the email details and invoice amount.

  1. Select which parent(s) should receive the invoice.
  2. Type additional email addresses to CC
  3. Type additional email addresses to BCC
  4. Edit the email subject line
  5. Edit the body of the email message
  6. Edit the footer that will appear on the invoice
  7. View/edit the invoice amount due
    • CampSite will auto-calculate the invoice amount based on the total payment schedule balance divided by the number of invoices on the payment schedule.
    • Click to edit the amount due if needed. If an invoice amount is edited, the family's future invoice amounts will account for this change.
  8. Click "Generate and send invoice" to generate the invoice and email it to the selected recipients

CampSite will send your email and attach the invoice as a PDF. The new payment date/the invoice will also appear as generated on the family's Invoices tab. If needed, you can also resend the generated invoice by double clicking the envelope icon again. To view a copy of the email and invoice that was sent, navigate to the family's E-mails tab.

  • If the invoice that was generated is a standard payment date on which you'll batch invoice other families, and the family set up for auto pay, you can take the family's payment for this invoice along with everyone else's payment during the "auto pay" step of the invoice process for this payment date.
  • Or, you can post a payment manually and allocate the payment towards this particular invoice.

Download a Copy of an Invoice

To download a copy of an invoice, double click the download icon (as shown above).

If the invoice has been edited since it was generated, you can download a copy of the original invoice by opening the email that was originally sent, via the family's E-mails tab.

Edit an Invoice

Use the "edit" tool to alter the "auto pay" setting for each invoice. If an invoice was already generated, you can also edit the invoice amount/amount paid for the invoice as well.

Editing a Generated Invoice

  1. Edit the amount due for the invoice.
  2. Edit the amount of payment applied to the invoice.
    • Changing the 'amount paid' does NOT debit payment from the family, but simply indicates how much payment is applied to this invoice. This is mostly used when an admin posts a payment manually and forgets to apply the payment to the invoice.
  3. Edit the 'auto pay' status for the invoice.
    • No = The invoice will not be paid via auto pay (payment must be made manually, either by an admin or a parent)
    • Credit card / checking account = The invoice will be paid during auto pay, using this method
  4. Click Update invoice to save changes

Editing an Invoice Not Yet Generated

When an invoice hasn't been generated yet, you can edit the "auto pay" settings for the invoice.

  1. Edit the 'auto pay' status for the invoice.
    • No = The invoice will not be paid via auto pay (payment must be made manually, either by an admin or a parent)
    • Credit card / checking account = The invoice will be paid during auto pay, using this method
  2. Click Update invoice to save changes

Delete an Invoice

Delete a particular invoice from a family's payment schedule by double clicking the delete button on the far right of each invoice.

  • Note that deleting an invoice on the family's schedule will increase the amount due on each remaining invoice, as they'll need to pay their balance with fewer payments now.
  • When an invoice is deleted, the family will not appear in the batch invoice process along with all other families for that particular payment date.

Invoice Preferences

The invoice preferences determine which parents receive the invoices that you mail during the batch invoice process.

Invoices can be sent to any of the 4 parents that could be listed on the family's account (primary or divorced).

Parents are able to manage their invoice preferences via the Financial page of the parent dashboard, while admin users can also edit these settings as well.

For admins to change a parent's invoice preferences,

  1. Double click the current Yes/No setting and select the correct value
  2. Click Ok to save changes

  4. Delete a checking account from the family profile. Note that families cannot delete checking accounts from the Parent Dashboard; they must request an admin user to do so on their behalf.
Family Profile: Tasks Tab

Use the "Tasks" tab to create and manage tasks for other admin user(s) to complete in regards to a family.

  • Tasks are for admin users only. Families cannot see any tasks related to their account.

Add a Task

Click the + Add new task... link to open the pop-up window for providing the task details.

Assign the task to 1 or more admin users by typing at least 3 letters of their name and selecting their name from the dropdown. Remove an assignee by double clicking the delete icon.

Note that the selected due date + time for the task also determines when the task becomes 'past due'. 'Past due' tasks are indicated with red text and emailed to the user each morning.

View Tasks

For each task, view the due date + time; title; who created the task; who's been assigned the task; and the task status.

Click on the task title to read the task description (if there is one).

Edit a Task

Double click the pencil icon to edit the details for a task, as needed.

Any of the task fields can be edited after the fact (except the user the task was 'created by') - even if the task has already been marked as completed.

Mark as Completed

Once a task has been completed, click the 'Mark as completed' button under the 'Status' column to update it accordingly.

After marking a task as completed, the Status column will indicate when it was marked as completed and by which user.

  • Note: Only the assignees or the user who created the task is able to mark the task as completed.

Delete a Task

Double click the delete icon on the far right to delete a task. Only the user who created the task has the ability to delete it - admin users cannot delete a task that they did not create.

Task notifications

Emails

Users receive an email as soon as they're assigned a new task. The email includes the full task details and a link to the family's profile.

If a user has any tasks that are due today or are past-due, they'll also receive a "Daily tasks digest" email at 7:15am local time listing all of those tasks.

Welcome Page

The "Upcoming Tasks" container on the user's Welcome page will list any tasks they have that are past due, due today, or due tomorrow.

Click the task title to expand the details for it (if applicable), and click the family's name to jump to their profile.

Family Tasks Calendar

Users can also view all of their tasks (plus tasks assigned to other users) via the Family Tasks calendar, located in the Campers dropdown of the navigation menu.
