Events (Automated Actions)

The events feature allows camps to automate a certain action each time the corresponding event occurs. Currently, there are two types of actions that can be automated: sending an email or generating an admin task.

The event that triggers the action differs within each module - see below for details. The selected action can be set to occur immediately after the event transpires or a specified number of days later.

Events

Campers

For campers, the triggering event for an action is camper enrollment inactivity, where the email or task is generated when a new camper has not enrolled after so many days (since the camper's account was created).

Families

For families, the triggering event for an action is the family's completion of your Request for Information or New Family Enrollment form, where the email or task is generated so many days after the family submitted either form.

Please note that Step 1 of the camper setup wizard also allows you to automate an submission confirmation email as soon as either of these forms are submitted. That said, the Events feature for families is mostly designed for triggering an automatic email or task so many days after the form was submitted.

Staff

For staff, the triggering event for an action is application inactivity, where the email or task is generated when an applicant (who was not yet hired in the system) has not updated their staff application after so many days.

Automated Emails

Trigger CampSite to send one of your saved emails each time the corresponding event occurs.

Select how many days after the event occurs should the email be sent; which saved email CampSite should send; and (for camper/family events) which parents should receive the email.

Automated Tasks

Trigger CampSite to create a new task for one or more admin users each time the corresponding event occurs.

Select the desired number of days of inactivity; which admin user(s) to assign the task to; provide the task details; and indicate how many days after the event occurs should the task be created.

In the example above, when an applicant hasn't updated their application for 7 days, Sarah and Dan will be assigned a task to call the applicant the next day.
